Procter & Gamble Executive Administrator in Seattle, Washington
This position will be based on the Costco customer team at the Procter & Gamble Seattle CBC (Customer Business Center), supporting the Costco Team Director, and 2 Sales Associate Directors. The ideal candidate has previous administrative experience supporting executives and is professional, self-motivated, highly organized, and independent while operating with strong operational discipline to support and enable three managers who are leading a fast-paced, successful, critical (Top 3 in US) and complex customer team. By executing this role with excellence, this administrator will enable the team to:
meet or exceed their annual business objectives on measures such as volume, share and gross contribution and
build a strong team culture that enables peak performance and strong employee engagement.
Important Responsibilities include:
Complex calendar management for Team Director and 2 Associate Directors, spanning multiple time zones, and countries including video conference meetings, planning, etc.
Coordination of travel arrangements for both U.S. and international trips, to include flights, hotel, ground transportation as well as processing travel and expenses for Team Director and 2 Associate Directors.
Ownership of planning monthly Costco Lead Team meetings, Costco Team Meetings, Club Lead Team Meetings, and various Club Network meetings, including scheduling dates/times, room reservations and agenda development for Costco Lead Team Meetings. Responsible for logistics of full Costco Team meetings 2x/year including venue contract negotiation, theme & agenda development, catering, team-building activities, and stewardship to keep within budget. Responsible for catering for all team events, typically 3-5x/month.
Ownership of formal team recognition program 3x/year to include soliciting nominations, collaborating with selection committee, preparing slides for meeting, presenter notes and award certificates.
Critical member of Culture Team with ownership of social function pillar of the Culture Team Action Plan with responsibility for planning team celebrations for special events in teammates’ lives such as P&G anniversaries, weddings, babies, etc. Also responsible for leading planning of site socials designed to bring teammates together over potlucks, holiday celebrations, happy hours and more. Goal is to make the Seattle CBC “the best place to work” at P&G.
have a High School diploma or GED or equivalent education
have 4 or more years of administrative experience
have experience supporting Director/Executive level management
now (or in past) been employed with the same company for 3 or more years
be proficient in email, Microsoft Office, PPT, Word and Excel
Candidates must have excellent problem solving skills, capable of managing multiple priorities and projects, good oral and written communication skills and strong interpersonal skills. Strong word processing and problem solving skills, exceptional attention to detail, thoroughness and follow-up, strong organizational skills; must be able to set priorities and work independently.
Requires individuals that can manage a demanding work load, and balance self-managed task/projects along with management support needs.
